How it works

One referral. One record. One closure pack.

Every matter moves through seven evidenced stages. Your portal shows the stage, who holds the next action and what, if anything, your firm needs to do.

How a matter runs, from referral to closure. 1 min 14 s, with captions. We arrange safe custody with a licensed dealer near the firearms, once the dealer is ready to receive them and any collection arrangements are agreed. If a local dealer needs to complete onboarding first, we tell you. We confirm the dealer and the date in writing before handover. Ask us what applies to yours.

An estate file lands on your desk. Line fourteen: two firearms. The executor must deal with them under the Firearms Control Act, and the estate file must show how.

Firearmdesk carries that work, and your firm keeps the evidenced record. Refer once, in under five minutes.

The firearms go into licensed dealer custody, moved by a permitted transporter and receipted on arrival. Never held by us.

The executor reviews the valuation and signs an instruction: a sale through a licensed dealer, a transfer to an heir, or a surrender to the police.

Where the Central Firearms Registry decides, the matter shows a waiting state, never an assumed outcome.

Every step is evidenced on the matter. Nothing sensitive goes by email, and sale proceeds never pass through us. At the end, a closure pack for the estate file.

We take estates from anywhere in South Africa. We take the file within one working day of the referral and start the compliance work: the Regulation 103 deadlines and inventory, the valuation and any heir's licence. We arrange safe custody with a licensed dealer near the firearms, once the dealer is ready to receive them and any collection arrangements are agreed. If a local dealer needs to complete onboarding first, we tell you. We confirm the dealer and the date in writing before handover.

Security and legal basis

Custody you can evidence, on a stated legal basis.

Custody, money and legal authority are governed by rules and records, not by email and goodwill.

  • Dual control where it mattersRelease from custody, serial-number corrections, legal-rule changes and payee changes need two people.
  • Receipted, photographed, taggedEach firearm is verified, photographed and tagged on receipt, with its custody history kept for its whole stay.
  • Nothing sensitive by emailNotifications carry status and secure links only. Serial numbers and identity documents stay in the portal.
  • Payment never triggers a releaseRelease and disposal follow the executor's instruction and the law, never the state of an invoice.
  • Sale proceeds never pass through usThe selling dealer deducts its commission and pays the balance to the estate or the attorney's trust account.

Questions

Answers before you refer.

All questions

What do I need before I refer?

Your firm, your name and email, and the name of the deceased. The Master reference, date of death, province and the executor's own email address can be added later on the matter page, where your firm invites the executor. Licence copies and letters of executorship are uploaded through secure links.

Who holds the firearms while the estate is administered?

Licensed custody sites only: dealers with a police licence to store firearms, whose dealer licence, which specifies the safe or strongroom, is recorded and tracked for expiry; a site is allocated only while it is current. Your firm is told the custody region and when custody is confirmed, and sees the region only. The executor, as the depositor, sees the custody partner's trading name and licensed premises address on the portal, for the executor's notice to the Registrar of where the firearms are stored; they are never sent by email or SMS, and internal storage positions never leave the system. Every receipt, movement and release is receipted.

Is anything sensitive sent by email?

No. Email carries status notifications and secure links only. Firearm serial numbers, identity documents, photographs and matter documents are held in the secure portal and viewed there.

A firearm on the inventory? Refer it today.

A referral needs only the details you already have. No meeting is needed.
